Learn how to create a professional, easy-to-use quote template to suit your business needs.
To create a Quote Template, click on the Quote Templates in Settings. Click Add New.
The first field requires a Name for the Quote Template, and a description.
Next Type in your company ABN in the ABN # field.
Press Change logo to upload your company logo from your desktop.
Note the check box to the bottom left. If your Quote export will display total including GST make sure this box is ticked.
The Client Reference text section pulls text from the Job short description.
Assumptions and Qualifications is a text field that allows the user creating the Quote to enter further detail on the works. This data is entered or copy and pasted by the user when creating the quote inside of the Job.
Inclusions and Exclusions is a text field that allows the user creating the Quote to enter a scope or detail items not included and to be quoted later. This data is entered or copy and pasted by the user when creating the quote inside of the Job.
Quote Item Groups allow you to describe quote sections, the standard Item Groups are Mobilization, Maintenance and Consumable.
You can add more Item Groups by clicking the Add Item Group button.
You can edit the heading of an Item Group, by simply adding or removing text from the heading and then press save.
You can delete an Item Group by pressing the Bin icon.
You can add mandatory line items that will appear automatically in this quote template by pressing the Add More button to the right under the item group heading. (This line item will appear on every quote when this template is used, however can be deleted from the Quote in the job if not required.)
Handy Hint- Consumable Item Group allows the user to type a manual description of a line item whereas Mobilization and Maintenance are an Item Group that offers a drop-down list that can be populated with common charge out rates.
(Please contact SprintSuite Support to have a CSV of common charges and rates uploaded to your quote templates so they appear in the drop-down list below)
Handy Hint- When you supply us with a CSV of charge out rates, we will also obtain from you your Quotation For options. Because your SprintSuite portal comes with the default list below of Quotation For options, if these options do not suit your business needs to apply your CSV charge out rates to, we can remove what is not applicable and also supply you with Quotation For options that suit better.
The last two sections of the quote are the Footer and Terms and Conditions.
The Footer allows a user to nominate a footer at the bottom of each page of the quote.
The Terms and Conditions sections allows a user to nominate a set of terms for the quote.
Once you are happy with all your changes press Save. Your Quote template is now ready to use and export to your clients.
To Edit a Quote template, click on the Edit icon to the right of the template you wish to edit.
To Delete a Quote template, click on the Delete icon to the right of the template you wish to delete.
