Introduction:
The Staff Scheduler in SprintSuite is designed to help you manage and assign work efficiently. With this feature, you can easily schedule and organise your staff, allowing for seamless tracking of mobilisations and job assignments. Whether you're organising shifts, tracking availability, or managing multiple projects, the Staff Scheduler ensures smooth workflow management and visibility across the team.
1.Accessing the Staff Scheduler:
- To access the Staff Scheduler, navigate to the Schedules and select Staff Scheduler.
- The calendar view will display a schedule for the day, week, or month, allowing you to see staff availability and assignments at a glance. Each staff members mobilisations will be displayed on the schedule.
- For each mobilisation the following details will appear- Shift abbreviation, job number, location and client.
- Additionally, a staff members R&R schedule will appear on the scheduler, but you must ensure their swings
2.Rearranging Staff Mobilisations
- To move a staff member's mobilisation, hover over the mobilisation until the hand icon appears. Then, drag it to the desired position.
- After moving a staff members mobilisation, you can expand or shorten it as needed. If you wish to undo the chance, simply revert it to its previous position.
3. How to Mobilise Staff from the Scheduler
- To mobilise a staff member, double-click on the desired date and time for that staff member in the scheduler.
- A pop-up create mobilisation screen will appear, allowing you to assign or adjust their mobilisation.
Once the create mobilisation screen appears, you'll notice the staff member's name, date, and start time are already populated. If needed, you can edit these fields. Then, complete the following steps:
- Finish Date and Time: Enter the end date and time for the mobilisation.
- Shift Type: Select the appropriate shift type for the mobilisation.
- Link to Job or Project: Choose whether to link the mobilisation to a job or project. If you don't want to link it, simply turn off this option.
- Job Number and Cost Code: If applicable, select the cost code.
Finally, click on Create Mobilisation to save your changes.
Once you create a mobilisation, it will appear as a draft mobilisation. Draft mobilisations are visually distinguished by diagonal lines through them. Once finalised, the mobilisation will display with a solid colour, indicating that is is confirmed and no longer in draft status.
To finalise a draft mobilisation, simply click anywhere on the draft mobilisation. This will redirect you to the mobilisation tab of the job, where you can complete and finalise the mobilisation.
3.Using Filters on the Scheduler
To apply filters on the scheduler, click the purple filter button located in the top left corner of the screen. This will open the filter options, allowing you to customise your view based on specific criteria.
On the right-hand side, you’ll find several icons to assist with navigating the schedule:
- Magnify Icon: Decreases the view to show the schedule by week or day.
- Minimize Icon: Expands the view to display the schedule by week or month.
- Back Arrow: Moves your view backward by week or month.
- Forward Arrow: Moves your view forward by week or month.
- Home Icon: Resets the view back to the original state when the schedule was first opened.
